Terms and Conditions – Special Mini Sessions

Payment and Cancellation Policy

All sales are final for special mini sessions, including but not limited to Summer, Spring, Fall,

Winter, Christmas, Valentine’s Day, and Easter.

If a client cancels or is a no show, they will not receive a refund.

If a client needs to reschedule for any reason, they must book a regular mini session and pay

the price difference.

Weather Policy and Rescheduling For Outdoor Sessions Only

In the event of rain, your session will be rescheduled based on Sarah Kane’s availability.

Sessions will not be rescheduled for cloudy or overcast conditions, as soft light often creates

beautiful results.

If your session must be rescheduled due to rain, you may choose to keep your original date

and time and move your session to Sarah Kane’s studio or Cottage.

Because forecasts can be unpredictable, final decisions regarding cancellations due to rain will

be made by Sarah by 11:00 a.m. on the day of your session.

In the event of extreme cold (below 40°F), outdoor sessions may be rescheduled at the client’s

request, depending on availability.

Punctuality Policy

All parties being photographed should arrive at least 10 minutes before the scheduled start

time to ensure the session begins on time.

Due to back-to-back scheduling and limited daylight hours for outdoor sessions, extended

time cannot be given for late arrivals.

Your session begins at the scheduled start time and lasts 30 minutes. Late arrivals will result in

reduced shooting time and may lead to fewer final images. Clients arriving more than 10

minutes late may not receive the full gallery of 10 images included with their session and will

not receive a refund for images not delivered.

For outdoor locations - Parking can be difficult in some locations, so please allow extra time

for parking and walking to the meeting spot.

Image Selection & Delivery

Clients will select final images from a proofing gallery of unedited images curated by Sarah

Kane Photography LLC.

Only final edited images that are purchased will be made available for download.

Unedited proofs will not be downloadable or released.

Turnaround Times

Proofs will be delivered approximately 7 business days from the date of the client’s session.

Final edited images will be delivered approximately 7 business days from the date the client

informs Sarah Kane Photography LLC of their selections.Turn-around times are subject to change based on Sarah Kane’s workload.

Rush delivery options are available:

1 business day turnaround for an additional fee.

3 business day turnaround for an additional fee.

Rush delivery applies to both proofs and final images, which will be delivered within the rush

timeframe selected.

If a session ends after 4:00 pm, or if a client notifies Sarah Kane Photography LLC of their final

image selections after 4:00 pm, the business day will begin on the following business day.

Gallery Expiration Policy

The client’s proofing gallery and final gallery will have an expiration date.

If the client fails to select final images or download their images before the expiration date, an

additional $50 fee will be required to extend the gallery for one (1) additional year.

Final image selections must be made at least 2 weeks before the gallery expiration to allow

time for editing.

Once a gallery expires, Sarah Kane Photography LLC cannot guarantee the retrieval of images.

Sarah Kane Photography LLC maintains a copy of images for up to 3 years; however, if images

are lost after gallery expiration, Sarah Kane Photography LLC is not responsible for

replacement.

Guarantee of Specific Images

Due to the organic nature of photography—especially with young children—specific poses or

images cannot be guaranteed. Sarah Kane Photography LLC will always strive to deliver a

beautiful gallery within the natural flow of the session.

Client Responsibility for Digital Images

Upon delivery of the digital images, the client assumes full responsibility for storing and

safeguarding all files. Sarah Kane Photography LLC is not responsible for lost, deleted, or

damaged images and is not obligated to replace them.

It is recommended that clients back up their files in multiple locations and refresh backups

every 6 months.

Editing and Additional Fees

All final images include editing for color, exposure, skin smoothing, minor blemish removal,

teeth whitening, minor hair cleanup, and minor object removal if necessary, at the discretion of

Sarah Kane Photography LLC.

Additional edits requested by the client may incur additional fees based on the amount of

work.

Examples of edits not included (but not limited to) are: wrinkled clothing, clothing

malfunctions, dirty clothing/shoes/faces, band-aids, stickers, tattoos, markers, makeup

corrections and requested head swaps.

Copyright and Usage Rights

All digital images and other digital materials remain the exclusive copyrighted property of Sarah

Kane Photography LLC. Sarah Kane Photography LLC has the irrevocable and unrestrictedright to use and publish images of all parties included for editorial, trade, advertising, and any

other purpose and in any manner and medium, including alteration without restriction.

Privacy Request

release below.

If you wish to keep your images private, please type “KEEP IMAGES PRIVATE” in the photo

Liability Release

By paying the session/retainer fee and booking a session, the client agrees to waive, disclaim,

and release Sarah Kane Photography LLC and its respective owners, members, employees,

contractors, helpers, agents, volunteers, and representatives from any and all actions, claims,

or demands, known or unknown, related to injury, illness, death, or damage, loss, or

destruction of property arising out of or in connection with the session or any related products.
